Privacy policy

This policy explains what information Tathya Charitable Trust collects through the Anahat Naad booking website and how it is used.

1. Who is responsible for your information

Tathya Charitable Trust, based in Anand, Gujarat, is responsible for information collected through this event website. This policy applies to the Anahat Naad ticket selection, payment and WhatsApp confirmation process.

2. Information we collect

  • Your name and the WhatsApp number used to contact the Organiser.
  • Your ticket category, quantity and calculated payment amount.
  • The payment screenshot or UPI transaction reference you choose to send on WhatsApp or through payment help.
  • Payment-recovery claim details if you paid without completing a booking.
  • Basic hosting and security logs, which may include an IP address and timestamp.
  • Booking timestamps, verification status and basic security or error logs generated by the service.
  • Website usage and campaign information collected through Google Analytics and the Meta Pixel, such as pages viewed, approximate location, device/browser information, referral source and interactions with the booking form.

We do not ask for or intentionally collect your UPI PIN, OTP, banking password or card credentials. Please crop or mask unrelated account information before sending a payment screenshot, while keeping the amount, payee and transaction reference visible.

3. Why we use this information

We use your information to:

  • Review your WhatsApp payment confirmation and create a confirmed booking after verification.
  • Verify payment and prevent duplicate or fraudulent bookings.
  • Send confirmation, entry information, changes and support messages on WhatsApp, by phone, or by email when supplied.
  • Manage ticket inventory, event operations, accounting and legal obligations.
  • Protect the website and investigate technical or security issues.

4. How information is shared

Booking information is available only to authorised members of the Organiser’s event team and service providers who need it to operate hosting, storage, communications, payment reconciliation or event entry. We may also disclose information when required by law, to protect attendees, or to investigate fraud. We do not sell your personal information.

If email delivery is enabled, the supplied email address and ticket message are sent through the Organiser’s configured email delivery provider. Payment screenshots are not included in ticket emails.

The website creates a WhatsApp message from the form details in your browser. The message is sent only when you continue to WhatsApp and press send. WhatsApp processes the conversation under its own privacy terms. Your banking or payment app separately processes any QR payment under its own terms.

5. Retention

We keep booking and payment records only for as long as reasonably necessary to run the event, resolve disputes, prevent fraud, and meet accounting or legal requirements. Payment screenshots and contact details should be deleted or securely anonymised when they are no longer needed for those purposes.

6. Security

We use access controls and restricted storage for booking records and screenshots. No internet service can guarantee absolute security, so you should share only the information requested and keep your booking reference and payment credentials private.

7. Cookies and analytics

We use Google Analytics and the Meta Pixel on public pages to understand website traffic, improve the booking experience and measure the effectiveness of event campaigns. These services may use cookies or similar identifiers for measurement. When the payment step or WhatsApp confirmation is started, we send the selected ticket category, quantity and calculated amount as an analytics event. We do not send the name entered in the form or the WhatsApp message to Google Analytics or Meta.

Analytics and advertising measurement are disabled on the private administrator and ticket pages. The private administrator area uses an essential, secure session cookie to maintain authorised access. You can restrict or delete non-essential cookies using your browser settings. Google processes Analytics data under its own privacy policy, and Meta processes Pixel data under its privacy policy.

8. Your choices and requests

You may ask to access or correct your booking information, withdraw consent where applicable, or request deletion when the information is no longer required. Some records may need to be retained to complete your booking or comply with legal and accounting obligations. To protect you, we may verify your identity and booking reference before responding.

9. Information about other people

If you make a group booking, provide another person’s information only with their knowledge and permission. The booking contact is responsible for sharing relevant event updates with the group.

10. Updates and contact
